Welcome Swimmers and Families,

 

The Loomis Basin Dolphins Swim Team was formed in 1972, shortly after the community pool was constructed on the Del Oro High School campus. Originally part of a very small, four-team league known as the Golden Valley Swim League, the Dolphins "graduated" into the much larger Suburban Swim League in 1988.  We have been part of the Suburban Swim League ever since.

 

Over the years, we have earned and nurtured a reputation for being a well-organized and respected team that does an exceptional job of balancing a focus on the swimmer while providing a great family-oriented and fun environment.

 

The mission of the Loomis Basin Dolphins Swim Team is to have a positive impact on the lives of our swimmers as both an athlete and as an individual.

 

This is done by:

Where do I find practice times, schedules and the latest updated team news?

Loomis Basin Dolphins operates a website at: Loomisdolphins.org that has all the news and team information you could want.  Check it for practice times, meet schedules, upcoming events, and general team news.  For team information, this should be the first place you look.

 

If you don’t find your answer at the website, contact a board member or any other Team parent.  You'll have a more enjoyable experience once you understand the details.

 

"Dual Meet"???    "SSL"???    What's it all mean?

The Loomis Basin Dolphin Swim team is a member of the Suburban Swim League (SSL).  There are 6 other swim teams included in the league (College Greens, El Dorado, Folsom, Broadstone, Park Terrace and Sierra Sharks).  We swim against each team once, during the regular season.  These swim meets are referred to as "dual" meets.  At the end of the season, all 7 teams come together for a three-day Championship series during which time all teams compete simultaneously.

 

Age Group Full?  What does that mean and why does it matter?

The Suburban Swim League organizes its events by age group and sex (i.e. 7-8 year old girls, 7-8 year old boys, etc.).  Each team within the league limits the number of swimmers in each group so that each swimmer gets the opportunity to swim more than one event in a meet.  For this reason, it is conceivable that the Dolphins may still have "openings" in one age group (i.e. 15-18 year old boys), but be "closed" in another age group (i.e. 9-10 year old girls).  The number of swimmers is primarily determined by the limited capacity of the pool and safety concerns. Swimmers who were on the team the previous year are offered an "Early Bird" opportunity to sign-up again the next year so as to guarantee that they do not get bumped by a new swimmer.

 

Evaluations?  New Swimmers?  What do we do?  Why do this?

All new swimmers wishing to join the team are required to participate in a new swimmer evaluation first.  The purpose of this evaluation is to ensure that the new swimmer is water safe and to demonstrate skill level. If a particular age group has more swimmers wishing to join the team than there are spaces available, siblings of current team members are given first consideration, provided they are water safe.  Any remaining open slots will be given to those swimmers who, in the judgment of the coaches, are considered to be the best swimmers. 

 

Coaching Staff

Prior to the season beginning, a coaching committee is formed to consider and interview perspective coaches for the upcoming season.  Preference is given to former or present LBD swimmers.  Coaches are paid employees of the Loomis Basin Dolphins, and as such, are under the direction of the LBD Board.  Remember, since this is a non-profit recreational team with a limited budget, the coaches, in particular the associate coaches, are often high school students with limited coaching experience.  

 

All Dolphin swimmers who have been on the team for at least 3 years and are at least 16 years old are eligible to compete for the Associate Coach positions that we have available each year.  The Associate Coaches assist the Head and Assistant Coaches in a variety of roles.

 

The coaches are more than happy to talk with you, but please… not during practices or swim meets.  You can leave a note in their 'mailbox', addressing specific issues, or asking to set up a time to meet.  They will either call you or reply with a message left in your mailbox. If your question is more general in nature, start by asking your age group rep or any of the other board members.  Board members will be on the pool deck during practice times and at swim meets.

 

Mailboxes? Bulletin Boards? Where?  What for?

During practice and at each of the swim meets you will find blue file boxes on the ground in the spectator area under the team bulletin boards.  These are family mailboxes and there is a file folder for each family.  It is very important that you or your swimmer check this box each day before you leave the pool.  If you are in a carpool, make sure the driver checks the bulletin board and your mailbox for you.  The mailboxes are a critical means for getting important information to you in a timely way.

You will also find folders for Board Members and Coaches.  If you need to communicate with them, feel free to leave a note in their folders. If you do not have a mailbox, contact the Board Secretary.

 

 

Practice?  Check-in? What happens?  Do I need to stay while my child is practicing?

Swimmers need to arrive at least 5 minutes before the scheduled start of their practice session.  Upon arrival at the pool, your swimmer needs to 'Check-in', so that there is a record of their attendance at each practice.  The check-in process is quite simple:  Swimmers must check in with the coaches in the grass area prior to practice start time.  The coaches will then mark the swimmer ‘present’ in the check-in binder. 

 

Different age groups swim at different times.  During the month of May, practices begin in the afternoon.  Once school gets out, practice times expand and shift to include the morning hours.  Occasionally, we are required to move/adjust practice times.  We'll give you as much notice as we can and will use the Poolside Bulletin Boards and/or the Swimmers Family Mailboxes to communicate the details.

 

In general, there is no reason for you to have to stay during practice.  You are, of course, free to do so if you would like.  If you do stay, it is imperative that you remain off of the pool deck (i.e. the area immediately around the pool).  The best place to watch practice is on the grass. If your child is young and new to the team, you may want to stay for the first few practices, so that the coaches can call on you, in the unlikely event that they need your assistance.

 

Can my child practice at a time other than their established age group practice time?

Unless specifically requested or approved by the Head Coach, you are required to keep your child in their pre-established age group.  In this way, the coaches are able to ensure that each practice session focuses on the skills and techniques appropriate for that group.  This policy also eliminates the possibility of over-crowded practice sessions.  Occasionally, a swimmer may be asked by the coach to practice with a different group (usually a more advanced group) so as to better match their skills with the techniques being taught. If this applies to your swimmer, the Head Coach will contact you to suggest the change.

 

Time Trials?  What is this for?

The purpose of time trials is to establish a baseline time for each swimmer in each event.  The coaches use this baseline to determine the placement order of individual swimmers during the first swim meet. The coaches also use this time to establish individual improvement goals for each swimmer.  Time trials also serves as an excellent practice run to allow new families to see how a swim meet is run and to learn the specifics of whatever job they have signed up to help with.  Bottom line… it is critical that you and your swimmer attend Time Trials!   Check the Dolphin Schedule for the date and time.

 

Check-in?  First Meet?  What do we do?

For away meets please refer to the map and driving directions at the very end of this handbook and plan accordingly.  Unless otherwise stated, check-in time for away and home meets is anywhere between 6:30 a.m. and 7:00 a.m.  Times will be posted at the pool.   As soon as you arrive at the pool, your swimmer MUST first check-in at the check-in table (usually located near the entrance to the pool or for away meets in the visiting team's setup area).  Once you are checked in, find the Dolphin's team area (known as the "lagoon").   Setup your tarp and sleeping bag, etc. and wait until your age group is called for warm-ups.  Unless otherwise stated, our warm-up period is from 7:05 - 7:25 a.m. for home meets and from 7:30 - 7:50 for away meets.

If you have not checked in by the end of the scheduled check-in period (usually 7:00 a.m.), YOU WILL BE SCRATCHED FROM THE ENTIRE SWIM MEET!       Occasionally, there is a need to start a swim meet earlier, in which case all of the above times get adjusted.  As soon as we know, we'll notify you via the mail slots and the team bulletin board.

 

What does it mean to be Scratched from the swim meet?

If you sign up to attend a swim meet and then do not show up, you force team officials into a last-minute process known as a scratch session in order to remove you from the meet. This is a very serious infraction with significant consequences (both short term and long term) and every effort should be made to avoid having this happen to your swimmer. When a swimmer does not show up for a meet in which they have signed up for, each event in which that swimmer was scheduled to swim in must be re-arranged. Because of complicated eligibility rules, if these events include a Relay, it is possible that the other three swimmers scheduled to swim in the relay will not be able to swim.

 

A swimmer who misses a swim meet in which they are signed up for, without first informing either their age group rep or another LBD board member, prior to the end of the swim meet's check-in period will be ineligible to swim in the next swim meet. A repeat offense will result in the dismissal of the swimmer from the swim team.  Review the information in the section "SWIM MEET PROCEDURES" for more details.

  

Signed up for a Meet but can't attend after all?  Last minute illness?  What do we do?

Contact your age group representative as soon as possible and let them know so that the meet sheets can be changed and your swimmer can be replaced. Failure to do this will result in your swimmer being ineligible to swim in the next swim meet.  Even if your swimmer wakes up ill the morning of the swim meet you still MUST notify a team official during the check-in period that your swimmer will not be swimming.  To do this, we have established a special cellular phone number, to be used only during the normal Saturday morning check-in period:  Review the information in the section "SWIM MEET PROCEDURES" later in this handbook to understand the specific details.

 

Meet Sign-up?  What do I need to do and why?

At least two weeks before a swim meet, there will be sign-up sheets posted on the bulletin board at the Del Oro swimming pool with all the age groups, their names, and the date and location of the meet.  Parents must initial this sheet next to their swimmer’s name if they are or are not going to participate in the meet.  These sheets will be taken down the Monday before a meet.  The coaches take this information and make up the meet sheets assigning those available swimmers to their races.  It is imperative that parents indicate with either a 'YES' or 'NO' for every swim meet.

 

Events?  How do I find out what event my child is in on Saturday? Event Numbers?

The meet sheets indicating what event(s) a swimmer will swim, will be posted on the morning of the meet near the check-in table.  Please realize that there are specific Suburban Swim League rules that limit the number of events that a swimmer can swim during any one meet. These rules are in place to help ensure that all swimmers participate in a swim meet. Each event has an event number. There is a table, later in this handbook that provides the details of each event, by event number.

 

Sleeping Bag?  What else to bring?

At each meet the swimmers are expected to stay in the LBD area. Since the area is simply large areas of open field or grass (often still wet from the morning dew), it is necessary to bring something to sit on and have some way to keep warm after warm-ups and each race.  A tarp and an old sleeping bag are ideal.  Two towels are a must as well. Snacks, games, and books are important as well. Label everything (including the towels) and encourage your swimmer to keep their things together in a bag.

 

Behavior at a meet?

Sportsmanlike conduct is expected at all times, from swimmers, coaches, and parents.  This includes how LBD members treat other LBD members, as well as how LBD members treat members of the other team.  Roughhousing, rudeness, disrespectfulness, inappropriate language, and violence of any nature will not be tolerated.  If you witness any type of misbehavior and it is not stopping, involve the age group rep ASAP of the child in question, or any LBD Board Member, if another parent is involved.

 

The Race is over, why do they need to hurry when getting out of the water?

Swimmers are asked to get out of the water as soon as the last swimmer finishes so the meet can progress swiftly. There are 95 events (often with 3 or more heats per event).  A 15-second delay at the end of each heat can literally add more than an hour to the swim meet!   During a relay, the swimmer must get out of the water as soon as they have touched the wall.  Failure to do so is cause for disqualification by the stroke and turn officials.

 

What is a “Rolling Start”?

For the older age groups, 9-10 and above, the starter may utilize the “rolling start”.  This is where the swimmers who just finished the race must remain in the pool while the next heat steps up to the blocks and is started. Once the new heat gets underway, the swimmers who are at the wall will then exit the pool.  The “rolling start” is designed to save time and has been proven to substantially speed up the progress of a swim meet.

 

Panic?  Swimmer is scared and won’t finish the race?

In most cases let the coaches handle the problem.  They will encourage the swimmer to complete the event, thereby allowing your swimmer the satisfaction that comes from the finish.  Normally when a swimmer is in the water it is best to allow the coaches the chance to solve any problem before getting involved.  They will call you if they need your help. Your young swimmer will gain confidence faster if you allow the coaches to do their job.

 

Parent/Guardian Work Responsibilities?  Why?

You may recall a large list of jobs to choose from on the Work Commitment form that you had to turn in as part of the registration process. It takes a lot of parents, volunteering their time, in order to run an efficient meet.  It takes a total of 36 parents (spread over two shifts and two teams) just to handle the timing for a 6-lane pool.  It is important that you show up, on time, for any job that you have signed up for.  The chairperson for each of the jobs that you have signed up for will contact you to give you the schedule for the rest of the season as well as the names/numbers of everyone else who has volunteered to work that job. Occasionally we get more people signing up for a position than we have slots that need to be filled.  When this happens, we will work with you to identify another position that needs help.  Occasionally, you may get double-booked.  We do our best to avoid this, but if it does happen, please contact one of the chairpersons to let them know ASAP.  If for any reason you are unable to work a scheduled job, please take the initiative on your own to contact someone else from the work list to replace you, then let the chairperson know of the change.  As a last resort, if you can't find a replacement contact the chairperson.

 

Can we leave a meet early?

Signing up to participate in a swim meet means agreeing to remain for the entire swim meet.  If you know ahead of time that you will have to leave a swim meet early, you must make a request to the Head Coaches in writing, stating the time you will be leaving and the reason. The Head Coach must agree to your request and may refuse to grant it.  Notification must be to the coaches the Monday prior to Saturday's meet.  The reason for this rule is that sometimes a swimmer’s early departure from a meet can affect other swimmer’s ability to swim races. The League Rules state, in summary, that all swimmers who are scheduled for a meet will swim in at least one event per meet. Before any swimmer will be allowed to compete in four events, all members in the age group will swim in at least three events. If while at the meet, an unexpected, last minute need arises, you must notify an age group rep of your intention to leave to ensure that you are not a last-minute add to a Free Relay Team.  6 & Unders can leave after the Backstroke event.

 

It is critical that you DON’T LEAVE until all of the events your swimmer has been entered into are done. It is especially important to verify that your swimmer has not been entered into the Free Relay (which is the last event of the swim meet).  Missing a relay leaves three other swimmers unable to compete and is grounds for being disqualified from the next swim meet. Even if your swimmer finishes early in the meet, it is always nice to stay and cheer on other swimmers.  It makes the Team more of a Team.  Any swimmer age 6 & Under can leave when backstroke is over.  This is due to the fact that all 6 & Under events are over after backstroke. Always clean your area before you leave.

 

Scoring?  How are the meets scored?

Swim meets use a cumulative point scoring system… the team with the most points wins! During the dual meets, points are scored only in the first heat and only by the first three swimmers to finish. Second and subsequent heats, within an event do not affect the scoring, however ribbons are awarded to ALL swimmers who participate. Points are awarded as follows: Individual Events  1st = 5 points, 2nd = 3 points, 3rd = 1 point.  Relays 1st = 7 points, 2nd = 3 points, 3rd = 1 point.  Age does not factor into the scoring. 

 

Ribbons?

All swimmers are awarded ribbons, regardless of which heat and what place they come in.  The back of the ribbon will record the date, event, heat, your swimmer’s time, and what place they finished in the heat. If the event is a relay, the time recorded will be that of the entire, 4-person relay team. Ribbons will be placed in your mailbox and will be available at the next practice session.

 

Picture Day and Ice Cream Social?  What is it?  What do we need to do?

On a designated practice day, there will be professional pictures taken of the team and individual swimmers.  All swimmers must be in attendance for the team picture.  After the pictures are taken, all of the swimmers and their families will be treated to an ice cream treat!  As always, we can use your help to keep the swimmers flowing through the pictures or handing out ice cream!

 

Fun Night?  What is it?  What do we do?

During the season, there will be a BBQ at the pool and then water games for the entire family.  You will be asked to bring a salad, dessert, or chips, etc.  Bring lawn chairs, blankets, towels, suits, etc.  Check the bulletin board and your mailbox for more information.

 

Camping Trip?  Family?  Where?

This is a social event where LBD reserves campsites and assigns two families to each campsite.  Each family pays a fee for the campsite and brings their own camping gear, food, etc.  Some families bring boats and offer to take team members out for a ski or tube ride. This is a very popular team event and a great way to meet other families in a more relaxed setting. Watch the bulletin board for Sign-ups.  Check the Dolphin Schedule for the date.  All swimmers attending this event must be supervised by an adult or have signed and submitted a waiver to attend.  Everyone attending as a part of LBD must abide by the site’s rules and regulations.

  

 Championships?  Explain.

At the end of the season, all seven teams in the league meet at Sierra College to have a final Championship event. The Championship Meet is VERY different from a normal dual swim meet.  There is even a fun "Team Spirit" cheer that all of the swimmers participate in.  Championships are so important and so different that we have devoted an entire page to explaining it, (see Championship Meet Page).

 

 Championships?  Do we have to participate?

The coaches have specifically requested that each swimmer make every effort possible to participate in Championships. This is their last chance to demonstrate what they have learned throughout the season and to help their team win bragging rights ("We're number ONE!") for the next season. Your registration fees, paid at the beginning of the season, already include the fees associated with Championships.  But take note: There is a league rule that states that a swimmer is required to have competed in at least two of the first four regular season swim meets, in order to qualify for championships.  If you have a valid excuse (i.e. extended illness, etc.) as to why you were unable to meet the qualifications, you can talk to the coaches to petition the league for a waiver. The league does not consider conflicts due to other sports activities to be a valid reason for a waiver.

 

End of the Season Banquet?  What and Where?

The purpose of our End of Season Banquet is to acknowledge the accomplishments of our individual swimmers and to elect board members for the next season and vote on any by-law changes. It is held shortly after Championships.  Everyone brings a picnic if they wish.  After we eat, the coaches will present awards to all swimmers.  Any medals, ribbons, etc. earned at Champs will be passed out at that time. We also use this time to ask families to complete a simple survey to provide feedback of what they liked about the season and to solicit ideas for how to improve our processes and help make the team even better next year. 

 

Awards: What are they, and how are they chosen?

At the End of Season Banquet, the coaching staff hands out awards to swimmers.  They are as follows:

High Point: Given to one boy and one girl in each age group.  This award winner is the swimmer that earns the most points for the team through the season.

Most Outstanding: Given to one boy and one girl in each age group.  These award winners stand out as being very hardworking in practice, having a positive, can-do attitude – a “Super Dolphin”!

Most Improved: Given to one boy and one girl in each age group.  These award winners have shown the most improvement from the beginning of the season to the end, in performance and/or attitude.

Coach’s Award: Given to one swimmer in the 13-18 age group.  This award winner is a role model to the rest of the team, in terms of attitude, work ethic, sportsmanship and spirit.

Spirit Award: Given to 1-2 swimmers in any age group.  This award is given to the swimmer who is always the most supportive to his/her teammates, has the most energy, spirit, and pep.

 

Are there any restrictions regarding swimming during the "off-season" (August-April)?

YES!  The Suburban Swim League (SSL) is a 'recreational' swim team.  As such, there are specific rules associated with how much organized swimming your swimmer can participate in during the off-season. 

The Suburban Swim League's policy with "off season" swimming is as follows:  No swimmer on any team is allowed to participate in any in-water coached or training session or activity during the period February 1 through April 30,  however, a swimmer may participate in 12 hours of “clinic” time during that period. In addition, a swimmer may participate in high school swimming during that period.

 

 
SWIM  MEET  PROCEDURES

 

1.       Dual Meet Time Table:  Unless otherwise stated on the Team Bulletin Board

6:30  a.m. Pool Open and ready for us
6:50-7:20 a.m. Home Team warm-up period
7:20-7:50 a.m. Visiting Team warm-up period
6:45-7:00 a.m. Scratch Session (if necessitated due to lack of adequate notification)
8:00-2:00 p.m.* Swim Meet
*Ending of swim meet may vary by a half hour or more. The end time is not fixed.

 

2.       Swimmers Check-In Time:

Away Meets: 7:00 a.m.   (unless otherwise stated on the Team Bulletin Board)

Home Meets:  6:30-6:45 a.m.   (unless otherwise stated on the Team Bulletin Board)

 

Any LBD swimmer who has not checked-in at least 45 minutes BEFORE the scheduled start of the meet (7:15 a.m. unless stated otherwise) will be scratched from the meet.  If a family is running late, then they can call the team's cell phone number (which will be posted on the website and at poolside during the season),  and do a phone check-in.  This check-in method is not preferred and should only be used in rare instances.  Using this method of check-in more than once may result in the swimmer being ineligible for the next swim meet.  If a swimmer is ill and is unable to swim in a meet in which he/she is scheduled, then it is the responsibility of the family to contact their age group rep AS SOON AS POSSIBLE, or as a last resort, use the Team's cell phone before the check-in session is scheduled to end.  Failure to notify team officials of a no-show before the end of check-in WILL result in the swimmer being ineligible to participate in the next swim meet.

 

3.       The Scratch Session:

Once the check-in session is over, team officials will begin the scratch session. At this point, no additional check-in will be allowed.  The ultimate goal of the team is to have no scratches.  However, to facilitate a smooth scratch session it is imperative that as much lead time is provided team officials to do their work.  Consequently, the sooner team officials know that a swimmer will be scratching, the more time they have to adjust the meet, thereby minimizing the possibility for violating league "seeding" requirements and ensuring the meet starts on time.  Therefore, the following rules will be used regarding the reporting of scratches:

¨       If a swimmer scratches from a meet and gives their age group rep at least 24 hours’ notice prior to the start of check-in, no penalty will be applied.

¨       If a swimmer scratches with less than 24 hours’ notice, but follows the notification rules as outlined above (contact age group rep/use Team Cell Phone), they will receive one warning.  Any future violation will result in the swimmer being ineligible for the next meet.

¨       If a swimmer is scratched without any notification prior to the end of the check-in process, the swimmer will automatically be ineligible to compete in the next swim meet.

 

In the Suburban League, once changes are made in the scratch session, no further substitutions are allowed during the course of the swim meet, except for a swimmer who has already checked-in, but becomes ill or is injured during the course of the swim meet.

 

4.       The Home Team:

In addition to the meet workers required by the League, our Team needs the following working positions filled for each of our meets:

For away meets, when we are considered to be the Visiting Team, we must provide the following:

Visiting teams should arrive at the home team’s pool facility about one hour before the start of the meet. Unless otherwise stated, our check-in time for away meets is 7:00 a.m..

8.       Entries:

A.    Each team may have no more than three official  entries per race in the individual and relay events in six-lane pools, four entries on eight-lane pools, and five entries on ten-lane pools.

B.    Each relay team must consist of four different swimmers.

C.    Suburban Swim League rules stipulate that during a dual meet a swimmer may swim in a maximum of three individual events and two relay events.

D.    All members of the Loomis Dolphins who are scheduled for a meet will swim in at least one event per meet. Before any swimmer will be allowed to compete in four events, all members in the age group will swim in at least three events.

E.     The coaches will place swimmers in events so as to best help the Team. Swimmers may not necessarily be entered in their best stroke or event, but will be entered to best help the Team. Swimmers who do not regularly participate in practice sessions may not be entered in meets.

F.     In the 6 & UNDER coed relay event, the team may consist of any combination of girl or boy swimmers.

G.    In accordance with League rules, coaches may move swimmers UP in age (individual or relay) as many as two age groups.  After a swimmer has been moved up in an age group for an event, the swimmer remains in that age group for subsequent events.

 

 

 

INTERPRETING THE EVENT SCHEDULE

 

Several sheets similar to this will be posted on the bulletin board in the spectator area.  Take note of what events your swimmer is scheduled to swim and be aware it could change at the meet.

During the Swim Meet Check-in process, each of the events your swimmer is scheduled to swim in will be written onto their hand. It is ALWAYS a good idea to check-in with your age group rep, once the scratch session has ended, to determine if your swimmer has been added (or deleted due to a 'no-show') to any events, such as the Free Relay (the last event of the meet).

 

During the meet, after scratches, check again for changes.  The updated Meet Sheets will be posted on a bulletin board in the Ready Bench area.  The Ready Bench will call swimmers when it is time for them to get ready.  They need to listen for their event to be called. If your child finishes early and there is a need for you to leave before the end of the meet, you MUST check in with your age-group rep to let them know that you intend to leave early. Sometimes a swimmer will be added to the free relay (the last event of the swim meet) at the last minute if someone is ill, etc. 

Any swimmer age 6 & Under can leave when backstroke is over.  This is due to the fact that all 6 & Under events are over after backstroke.  Always clean your area before you leave.

CHAMPIONSHIP  MEET

1.                    The Championship meet is the last swim meet of the season that all of our swimmers can enter.  It involves simultaneous competition between all 7 teams at Sierra College.  It begins on Friday evening and runs all day on Saturday and Sunday. Each team is designated a team area on campus.  Some are shaded, some are not, and we set up there for the entire weekend.  It is safe to leave tents, chairs, etc. for the weekend. Do not leave valuables. We are their guests and therefore must respect their wishes to stay out of certain areas.  Bring a lot of activities, the days are long.

 

2.                    Sierra College offers a great environment to hold championships.  The pool has 10 lanes with electronic scoring and a large display board that gives the results from each race for all lanes. There are plenty of bleachers around the pool for spectators.  Championships are VERY different from a normal dual swim meet.
